What we've taken over

One house, all of it ours

A chef's kitchen, a bar with its own mixologist, and a custom dining table that seats twenty-four. Every meal is at one table together instead of scattered across restaurants.

Nine bedrooms across three levels. Some have private en-suites, two share a bathroom, one is interior with bunks. Irina and Sepi are working out who goes where.

Why we need you

Three things only you can answer

Your flight times, so a car is waiting when you land. Your allergies and anything you won't eat, so the chef knows before he shops. And what you drink, so the fridge is right when we walk in.

After that it's whether you're in for the dinner out, and whether you fancy the spa, the tequila or the boat. Irina and Sepi are handling the bedrooms and the first day's menus, so that's two fewer things to think about.

Flights

Airport transfers are arranged per arrival, so we need your times and flight numbers. The airport is PVR. Check-in is 3:00 PM, check-out 11:00 AM. If you're travelling together, one set of flights covers you both.

Irina and Sepi are sorting the rooms out. Couples get the king rooms, and the three coming on their own will take the twin rooms and divvy them up when we arrive. Nothing to pick here. All nine are listed in Before You Go if you want a look.

Allergies & diet

The most important box on this page. Everyone eats the same menu, and the kitchen only makes exceptions for allergies and dietary needs. If it isn't written here, it won't be accommodated.

The catch-all. Arriving a day early, leaving on a dawn flight, not drinking, bringing someone we haven't accounted for, anything at all that changes the plan.

04 · Dinner out

One night, off the property

Irina and Sepi fancy one night out somewhere decent.

One night we'll book a restaurant

Somewhere near the villa. From what we've looked at so far, expect around $50 to $85 each.

We'll pay for what we each order rather than splitting the bill evenly.

Worth knowing before you answer: we don't have the chef that night. He's off, and the kitchen goes with him. So this isn't a choice between the restaurant and dinner at the villa. If you'd rather not come, you're sorting your own food out that evening, whether that's somewhere else in town or something you've picked up earlier in the day.

There's no restaurant and no date on this yet, on purpose. Nowhere decent will hold a table this size until we can tell them a number, so we need to know who's in before we book anything. Answer this one and we'll sort the place and the night and tell everyone well before we fly.

05 · Spa day and a boat

The girls' spa day

Irina and Sepi want a spa day, so that's happening on one day of the trip and it's for the girls. The boys will have to figure out something else. A tequila tasting is one idea, and one of the operators brings it to the villa, so at least there's a starting point.

There's a boat as well, and that one's for everyone. None of it is booked yet. The spa menu and the two boats below are what the villa has actually quoted us, with real prices attached, so you know what you're saying yes to.

Who's in for the spa?

Nobody goes anywhere for this one. The villa's spa is Caie, and they bring all of it to us, therapists, tables, products and all, so it's a morning or an afternoon by the pool instead of a taxi into town. The concierge books it. Tell us how many from your party are in.

Or we book it as one group thing. Their Last Fling Spa Party is a 60-minute massage each, a bottle of wine per four people and a cheese and bread table, and it works out at $90 a head whether we're 8, 12 or 16. That's ten dollars more than the massage on its own, with the wine and the table included. There's a fuller version too, massage and facial and pedicure each, at $165 a head.

An idea for the boys: tequila tasting

Nothing decided here. This is one suggestion for the same day, while the spa is on. Two options: one comes to the villa, the other is out in town and cheaper. If you've got a better idea, put it in the last box of this section.

The party boat

A private catamaran on Banderas Bay for four hours. The villa has picked out two it recommends, and the price is for the whole boat rather than per person, so the more of us who go the cheaper it gets each. It only happens if enough of us are in.

The six-hour version included snorkelling equipment, 12 beers, guacamole, a seasonal fruit plate, the port fees and an English-speaking crew. The four-hour quote didn't repeat that list, so we're having it confirmed before anyone counts on it. Either way, twelve beers between all of us is about one each, so we'd take more from the villa, and a tip for the crew is customary on top.

The villa's photos of the two boats, mixed together. Which shot belongs to which one isn't marked, so don't pick a boat off a picture. What they have in common is what matters: shade, a proper inside, somewhere to lie down at the front, and a loo that isn't the sea.

Anything else you'd like priced up?

The concierge can quote almost anything before anyone commits: a chef's tasting night, fishing, a private beach club, transport. Costs nothing to ask.

06 · Provisions

What's in the fridge when we arrive

You don't need to do a grocery shop

The villa's team buys everything before we land. The boring half is handled centrally: coffee, milk, bread, butter, eggs, fruit, water, tortillas, snacks, the lot.

What we can't guess is what you drink and anything you specifically need. That's all this section is. Tick a few boxes, add anything unusual, and you're done in a minute.

On what that comes to: the villa says groceries typically run $40 to $50 USD per person per day, and they'll give us a proper estimate once the menus are set. Four days, so somewhere around $160 to $200 each for everything we eat and drink at the villa. That's the food, not the villa.

Roughly how much, on a normal day there?

Nobody's counting and nobody sees your answer next to your name. It's so the order comes out the right size. We multiply it across four days to work out how many bottles to buy, and the alternative is guessing.

Per guest, per night, USD. Customary for the villa staff, paid at the end. Over four nights that's $120 each.

Minimum recommended per person, per day. Groceries, gratuities, taxis and plenty of good local places are cash-only.

On grocery receipts settling in cash. It's 15% on a credit card, and the difference isn't small.

US dollars are taken almost everywhere in Puerto Vallarta, though the rate varies by till. Where cards work it's usually Visa and Mastercard only. ATMs are easy to find, but watch the withdrawal caps and fees. Grocery money settled at the house is converted at the official Banco de México rate for that day, which keeps it honest for everyone.

How the days run

The staff

Chef, sous chef, waiter, mixologist and housekeeping, on site 9:00 AM to 9:00 PM daily. Your villa manager is bilingual and meets us at the door.

Meals

Breakfast 8:00–10:00 AM, dinner 6:00–8:00 PM, plus a light lunch. One shared menu, with exceptions only for allergies and dietary needs. The chef is off on the night we go out to the restaurant, so there's no dinner at the villa that evening.

Arriving

Check-in 3:00 PM, check-out 11:00 AM. Early check-in and late check-out can sometimes be arranged, so ask rather than assume. Guacamole, salsa, chips and a welcome drink are waiting.

Not included

Food, drink, shopping fees and staff gratuities are all on us rather than in the rental. Budget for them properly and there are no surprises.

Your concierge

Citlalli

Our dedicated concierge from now until we fly home. She handles airport transfers, chef menus and pre-stocking, yacht charters, spa, restaurant reservations, nightlife and excursions. She'll be at the villa when we arrive to meet everyone and walk us round.

Please don't leave this to the last minute. We're asking for everything by Tuesday 15 September, because it all has to be collated and sent on to the villa. Their own cutoff is 8 October, and after that the fridge is a lottery and the airport cars are a guess.
